Connecting WhatsApp to Prospect AI

To activate WhatsApp inside your account, simply reach out to our team. We’ll walk you through the setup process, including linking your official WhatsApp Business number to your Prospect AI dashboard. Once verified and approved, you’ll be able to send messages directly from within the platform.

Sending Messages on WhatsApp

WhatsApp uses two types of conversations:

  1. Business-Initiated Conversations (Template Messages):
    These are pre-approved message templates used to reach out to a contact after 24 hours of inactivity. Templates must be submitted for approval before sending.

  2. User-Initiated Conversations (2-Way Chat):
    If a lead or client messages you first, you have a 24-hour window to engage in unlimited back-and-forth messaging at no extra charge. After this window, another template message is required to reopen the conversation.

Creating & Using Message Templates

To initiate a new conversation after 24 hours, you must use an approved WhatsApp template message. This could be a reminder, promotion, update, or any type of proactive message.

24-Hour Rule: How It Works

  • Once a template message is delivered and responded to by the contact, you enter a 24-hour live chat window.

  • During this period, you can send unlimited messages back and forth at no additional cost.

  • If the 24-hour window expires, you must send another template message to re-initiate the conversation.

WhatsApp Pricing

Prospect AI’s WhatsApp messaging is powered by Meta’s official WhatsApp Business API. Below is the estimated pricing structure:

Frequently Asked Questions (FAQs)

Q: If a contact sends me a WhatsApp message and then an SMS, can I reply to both?

Yes — you can choose which channel to respond on. Inbound messages are clearly labelled and colour-coded by channel within your dashboard. Just make sure to select the correct channel (WhatsApp or SMS) before replying.

Meta allows a maximum of two phone numbers per WhatsApp Business Account (WABA). If you’ve reached this limit, you’ll need to delete one number or request additional capacity from Meta.

There are a few common reasons:

  • The recipient’s number is not registered with WhatsApp.
  • You attempted to send an authentication template to a user with a +91 (India) number — this is currently restricted.

    WhatsApp’s quality filter blocked the message to protect user experience (see: Per-User Marketing Template Message Limits).

 

Starting June 14, 2023, WhatsApp began limiting marketing template messages to ~1% of users unless:

  • An active customer service window exists,

  • An open marketing conversation already exists,

  • Or an open free-entry conversation exists.

If your message is blocked by this rule, it won’t be delivered — but you won’t be billed.

To initiate a new conversation after 24 hours, you must use an approved WhatsApp template message. This could be a reminder, promotion, update, or any type of proactive message.

You must verify your business with Meta through Business Manager to display your brand name in chat. Verification also unlocks 1,000+ daily business-initiated messages. Contact us to help you submit your verification.

This typically means:

  1. You’re currently using the number with the WhatsApp app. To migrate, delete the WhatsApp account from your phone (Settings > Account > Delete Account).

  2. Your number is linked to another WhatsApp provider. In this case, we’ll guide you through creating a new WABA and migrating your number.

⚠️ Note: Once connected to the WhatsApp Business API, you cannot use the number on the WhatsApp app anymore, and chat history will not transfer.

Once your number is added, you can verify it using:

  • SMS – Receive a code via text.
  • Phone Call – Receive a call with a code on your forwarded number.

 

No — once a number is linked and verified with the WhatsApp Business Platform, it cannot be changed without redoing setup.

  • Make sure your number is correct and in international format.

  • Check that your carrier is not blocking OTP delivery.

  • Retry after a few minutes or choose the phone call option instead.

 

Check the following:

  • Your number is not already registered to WhatsApp.

  • Your business details are accurate.

  • Try switching to a different verification method.

 

No — profile details (such as your business description, image, etc.) can only be updated inside the WhatsApp Business Manager, not through the CRM.
